
Terms & Conditions
Booking & Deposit
A 50% non-refundable deposit is required to secure your
booking date.
No dates will be held without a deposit.
The remaining balance must be paid in full 30 days before the
event date.
If the booking is made less than 30 days before the event, full
payment is required upfront.
Prices are including GST
Cancellations & Changes
Cancellations made more than 60 days before the event: only
the deposit is retained.
Cancellations within 60 days of the event: 50% of the total
booking fee is retained.
Cancellations within 30 days of the event: no refund is issued.
Date changes may be possible, subject to availability.
Venue Access & Time Slot
Venue hire is a total of 3-hour time slot, including pack up and
pack down.
Access is granted from the agreed booking time for your
event.
Any set-up or pack-down outside of the booked 3-hour period
must be arranged in advance and may incur an additional fee.
Damage & Responsibility
The hirer is responsible for all guests and vendors during the
hire period. Is it up to the hirer to organise and arrange all
vendors, payments, set up and pack down etc.
Any damage to the property, fixtures, or grounds will be
deducted from the bond or invoiced if costs exceed the bond.
The venue must be left tidy, and rubbish disposed of in the
bins provided.
Liability & Safety
Guests enter and use the property/facilities at their own risk.
We do not accept any responsibility or liability for accidents,
injuries, or harm that may occur to any person during the hire
period. It is the responsibility of the hirer to ensure all guests
behave in a safe and respectful manner while on the
premises.
Unforeseen events
We are not liable for cancellations due to circumstances
beyond our control, such as extreme weather, natural
disasters, or pandemics.
Insurance
External vendors must carry their own public liability
insurance.
Payment Terms
All payments are to be made via bank transfer unless otherwise
arranged.
A bond/security deposit of $500 is required and will be refunded
within 7 business days after your event, subject to no damage or
breaches of terms.
Alcohol & Catering
BYO alcohol is permitted but must comply with Responsible
Service of Alcohol (RSA) standards.
Caterers must be approved and hold relevant food safety
certification.
No open flames or fire pits allowed without prior approval.
Music & Noise
Music is permitted but must end by 7:00 PM in line with local
noise restrictions.
We reserve the right to request music volume to be lowered if
deemed too loud or disruptive.
Furniture & Chair Policy
Coastal Hideaway Mandurah does not provide chairs, tables, or
any other furniture as part of the venue hire.
Clients are responsible for sourcing and hiring all necessary
furniture, including chairs and tables, through their own
suppliers or hire companies.
We recommend booking your furniture early to ensure
availability and to match your wedding style and needs.
Please ensure all hired furniture is delivered and collected within
your booked time slot, and treated with care throughout your
event.
Neighbourhood Noise
Coastal Hideaway is located in a quiet, rural setting. While we do
our best to maintain a peaceful environment, please note that
we have no control over surrounding properties. This may
include the use of tools, machinery, or other noise from
neighbours during your booking. By confirming your booking,
you acknowledge and accept this as part of the natural flow of
the space.
COUNCIL REGULATIONS
Please note the following council-imposed conditions for use of
the venue:
Only 3 cars are allowed on-site.
Buses or vehicles over 4.5 tonnes are not permitted.
Guests must not obstruct or disrupt traffic in the
surrounding area.
Compliance with these regulations is essential to ensure
continued use of the space and respect for our neighbours.
